Fair Use Policy
Last updated: August 30, 2026
Report generation on ElderCare Concierge is not metered. You do not buy a bundle of reports, you do not spend anything when you press generate, and there is no counter on your screen to watch. Run the reports your families need.
This policy is what sits behind that. It describes the small number of situations where volume becomes a problem, what we do about them, and the one technical limit that exists.
It applies to every advisor, firm and seat on the platform, and it forms part of our Terms of Service. This policy is about volume. How the platform may be used at all is covered by the Acceptable Use Policy.
1. What this covers
Anything you generate as part of your seat: Family Alignment Reports, every follow-up report kind, and the questionnaire cycles that feed them.
It does not cover the Care Forecast, which is bought per engagement and priced separately. Paying for something is its own agreement.
2. What normal use looks like
An advisor working a full book of families, generating a baseline for each new one and running follow-ups on the suggested rhythms, uses a small fraction of what this policy allows. If you are reading this because you are worried you generate too much, you almost certainly do not.
Regenerating a report because the first one was not good enough is normal use. So is running two kinds for the same family in one afternoon because a meeting moved. So is a busy week after a quarter of quiet ones. We do not want you making a report decision based on what it costs us.
3. What is not fair use
Generating reports by script, or through anything other than the product itself. Every report costs us real money to produce, and an automated loop can spend a great deal of it before a person notices.
Generating reports for people who are not your clients. That includes test families created in volume, families belonging to another firm, and anyone who has not consented to their information being used this way.
Reselling reports, or offering generation as a service of your own. Your seat is for your practice.
Sharing a seat between several advisors. Seats are per person, and a shared login also makes our audit trail useless to you if you ever need it.
4. The one limit that exists
There is a ceiling on how many reports one advisor can generate in a calendar week. We would rather tell you it exists than let you find out at an awkward moment.
It is set several times higher than a full book of families on an active cadence, and it rises with your seat tier. It is there to stop a misbehaving script or a stuck loop, not to shape how you work. The first person to meet it is far more likely to have a technical problem than a busy week.
If you do meet it, the product says so plainly and tells you when it lifts. It resets every Monday. Nothing is lost and nothing is charged.
5. What we watch, and what we do not
We record how many reports each seat generates and what they cost us to produce. That is volume and cost, reviewed in aggregate, and it is how we notice a runaway process or an account behaving oddly.
We do not read your reports to police this policy, and volume review is not a reason for anyone to open a family's file. Access to client information is governed by our Privacy Policy and is logged.
6. What happens if something looks wrong
We contact you. In almost every case an unusual pattern turns out to be an integration misbehaving, a demo left running, or a genuinely exceptional week, and a short conversation ends it.
If it does not, we will agree a limit with you in writing before applying one. We will not quietly throttle an account and leave you to work out why your reports have stopped.
Suspension is reserved for use that is deliberate and serious: scripted generation after we have asked you to stop, reselling, or generating reports about people who have not agreed to it. Where we do suspend, your families keep the reports they have already received.
7. Changes to this policy
If we tighten anything here, we will tell you before it takes effect, and the date at the top of this page will change. A policy that can move under you without notice is not a policy.
8. Questions
If you are planning something unusual and are not sure how it sits with this policy, ask us first at support@eldercareconcierge.ca. We would far rather have that conversation in advance.
